Five signs your Dynamics 365 rollout needs a health check

Low adoption, slow upgrades and spreadsheets creeping back in are symptoms, not bad luck. Five warning signs and what to do about each before they become expensive.

Dynamics 365 is a powerful platform, but a CRM is only as good as the way it has been implemented and adopted. Many organisations reach a point where the system is technically live but not delivering what was promised. If any of the signs below sound familiar, a structured health check is usually the fastest way back on track.

The goal: one customer record and one pipeline that every team trusts.

1. Teams are back in spreadsheets

When people export data to Excel to do their real work, the CRM is getting in their way. Common causes are cluttered forms, missing views, slow screens or processes that do not match how the team actually works.

2. Every update feels risky

If release waves cause anxiety and testing takes weeks, the solution has probably accumulated heavy customisation: plugins, scripts and custom entities that duplicate standard features.

What to do: review customisations against current platform capabilities. Replacing custom code with standard features reduces risk with every future update.

3. Nobody trusts the data

Duplicate accounts, incomplete records and inconsistent picklists erode confidence quickly. Once managers stop trusting the dashboards, they stop using them.

What to do: agree data ownership and standards, add duplicate detection and validation, and run a targeted clean-up of the records that matter most.

4. Hand-offs between teams break

Leads that never reach sales, orders that do not reach finance, cases that bounce between teams: broken hand-offs are often integration or process problems disguised as people problems.

What to do: map the end-to-end journey across teams and systems, then automate the hand-offs with Power Automate or proper integrations, with clear ownership at each step.

5. Apps are multiplying without governance

Power Platform makes it easy for anyone to build an app. That is a strength, until there are dozens of apps nobody owns, connecting to data in ways nobody has reviewed.

What to do: put an environment strategy, data loss prevention policies and a light-touch centre of excellence in place, so good ideas can grow safely.

What a health check covers

  • Configuration and customisation review against standard capabilities
  • Security roles, environments and data loss prevention policies
  • Data quality and integration health
  • User adoption, including interviews with key users
  • A prioritised improvement plan, from quick wins to longer-term changes

Most issues are fixable without starting again. The key is knowing which ones to tackle first.
